As the Executive Assistant/Personal Assistant to the CEO, you will play a pivotal role in facilitating the smooth functioning of our executive's office. This position requires impeccable organizational skills, a keen eye for detail, and the ability to handle sensitive and confidential information with the utmost discretion. You will be responsible for heavy calendar management, prioritizing tasks, booking travel arrangements, and leveraging your intuition to anticipate the CEO's needs. Proficiency in Microsoft Excel and PowerPoint is essential for success in this role.

role Description:

Essential Functions:

    1. Calendar Management:
      • Proactively manage the CEO's calendar, coordinating and scheduling appointments, meetings, conferences, and events efficiently.
      • Anticipate scheduling conflicts and proactively propose solutions to optimize the CEO's time.
    2. Confidential Information Handling:
      • Handle highly sensitive and confidential information with utmost discretion and confidentiality.
      • Maintain confidentiality in all aspects of your work and ensure information security.
    3. Task Prioritization:
      • Assess and prioritize tasks, correspondence, and requests to ensure the CEO's time is utilized effectively.
    4. Travel Arrangements:
      • Efficiently plan and coordinate both domestic and international travel, including flights, accommodations, ground transportation, and any additional requirements.
      • Provide detailed itineraries and ensure the CEO is well-prepared for all travel commitments.
    5. Intuitive Support:
      • Develop a deep understanding of the CEO's preferences, work style, and expectations to provide intuitive support.
      • Take the initiative to anticipate needs, potential challenges, and opportunities for the CEO, ensuring a seamless workflow.
    6. Microsoft Excel and PowerPoint:
      • Utilize Microsoft Excel to create and manage reports, data analysis, and financial spreadsheets as needed.
      • Create compelling PowerPoint presentations for meetings, conferences, and other corporate events.

 Required Qualifications:

  • Outstanding organizational and time management skills with a strong ability to multitask and prioritize tasks effectively.
  • Exceptional attention to detail and accuracy, especially when handling confidential information.
  • Intuitive and proactive approach to anticipate and meet the needs of the CEO.
  • Proficiency in Microsoft Excel and PowerPoint to create reports, spreadsheets, and presentations.
  • Excellent communication and interpersonal skills, with the ability to interact professionally at all levels.
  • Demonstrated problem-solving skills and the ability to handle challenges with composure.
  • Flexibility to adapt to changing priorities and willingness to work outside regular hours when necessary.
  • High level of professionalism and a strong commitment to maintaining confidentiality.
  • Proven experience in a support role with a preference for experience as an Executive Assistant/Personal Assistant supporting CEO or C-suite executives.
